At Asia Getaways, we are committed to providing exceptional inbound tourism services across Sri Lanka, including curated tour packages, hotel arrangements, guided experiences, and add-on travel services. While we make every effort to ensure smooth operations, we recognize that changes in travel plans may sometimes be unavoidable.

This Refund and Return Policy outlines our procedures for cancellations, refunds, amendments, and returns of services, ensuring transparency and fairness for our clients while also safeguarding our partnerships with hotels, airlines, transportation providers, and other third-party service operators. By booking with Asia Getaways, you acknowledge and agree to the terms stated below.

1. General Terms

  • All refund and return requests must be submitted in writing via email to our official support team at support@asiagetaways.com.
  • Refunds are subject to the specific cancellation conditions of third-party suppliers (e.g., hotels, airlines, activity providers) in addition to Asia Getaways’ policy.
  • Refund eligibility will be calculated based on the total package cost paid by the client, excluding non-refundable fees such as bank charges, service fees, visa costs, or insurance premiums.
  • Refunds will only be made to the original payer and via the original method of payment.

2. Cancellation by the Client

Clients may cancel their bookings at any time. However, cancellation charges apply as follows:

  • More than 30 days prior to the tour start date: Eligible for a full refund, minus bank and administrative charges.
  • 15 to 29 days prior to the tour start date: Eligible for a 50% refund of the total package cost.
  • 14 days or less prior to the tour start date: No refund will be granted.
  • No-shows, last-minute cancellations, or failure to commence travel: Treated as a 100% cancellation with no refund.

3. Cancellation by Asia Getaways

In rare cases where Asia Getaways must cancel a tour due to unforeseen operational reasons, a full refund of all payments made to us will be provided.

Alternatively, clients may be offered a credit note or rescheduled itinerary of equal value, valid for up to 12 months.

Asia Getaways is not liable for additional costs incurred by the client (e.g., flight rescheduling, visa fees, or personal expenses) in such cases.

4. Refund Timeline & Method

All approved refunds will be processed within 14 working days of cancellation confirmation.

Refunds will be made in Sri Lankan Rupees (LKR) or in the original currency of payment, depending on the payment channel used.

Any currency exchange losses or bank charges during refund processing are the client’s responsibility.

5. Amendments & Rescheduling

Clients may request changes to their travel dates or itinerary up to 15 days before the original start date.

Approval of amendments depends on supplier availability and may incur additional costs.

If new dates are not possible, cancellation fees will apply as per the standard cancellation policy.

6. Non-Refundable Components

The following items are strictly non-refundable under all circumstances:

  • Visa fees and application costs
  • Travel insurance premiums
  • Airline tickets, unless refundable under the airline’s own terms
  • Government levies or taxes once collected
  • Additional services (e.g., photography, videography, custom excursions) once booked and confirmed
  • Deposits paid for special bookings (such as peak season hotels or private villa reservations)

7. Force Majeure & Extraordinary Circumstances

Asia Getaways shall not be held responsible for cancellations, delays, or alterations caused by circumstances beyond our reasonable control, including but not limited to:

  • Natural disasters (floods, tsunamis, earthquakes, etc.)
  • Political unrest, terrorism, strikes, or civil disturbances
  • Epidemics, pandemics, or government travel restrictions
  • Airline strikes, flight cancellations, or sudden regulatory changes

In such cases:

  • Clients will be offered the best possible alternatives, including postponements or travel credits valid for 12 months.
  • Partial refunds may be considered where suppliers agree, but cannot be guaranteed.

8. Partial Use of Services

If a client chooses to shorten their trip or not utilize certain services included in the package (e.g., skipping hotel nights, tours, or activities), no partial refund will be provided.

Unused services cannot be exchanged for cash or alternative arrangements.

9. Returns of Services (Travel Credits)

Instead of a cash refund, Asia Getaways may provide travel credits under certain circumstances. These credits:

  • Can be applied toward any Asia Getaways package within 12 months.
  • Are non-transferable unless specifically approved in writing.
  • Must be redeemed in full at the time of the next booking (no partial usage allowed).

10. Special Considerations for Group & Customized Bookings

For group tours, cancellation terms may vary depending on agreements with group organizers.

For tailor-made or luxury itineraries, suppliers may impose stricter terms, and refunds may be limited.

Clients will be advised of any such conditions before confirming a booking.

11. Responsibility of Clients

Clients are responsible for ensuring:

  • Accurate travel documents (passport validity, visas, insurance).
  • On-time arrival for scheduled transfers, tours, or flights.
  • Compliance with local laws and regulations during the tour.

Failure to do so may result in service forfeiture without eligibility for a refund.
